How to make a table plan
- Lay out your tables. Choose Add, then Tables for your guests, and enter your guest count, the seats per table and the shape. The right number of tables appears, about 1.5 m apart. Drag them to match the room.
- Name or number them. Keep the numbers, or select any table, choose Name all tables and type one name per line in table order.
- Add your guests. Paste your guest list from a spreadsheet or type names. Households and couples sit together without being told.
- Seat everyone. Press Smart arrange to fill the tables by your rules, then move anyone by dragging, or on a phone by tapping a name and then a table.
- Print the table plan. Download a PDF with the floor plan, an A–Z list showing each guest’s table, and a list for each table with seat numbers.
The example above is a garden party for 92: ten round tables of 10 named after flowers, a buffet and a bar, with nine guests still waiting for a seat. Press Smart arrange to seat them without moving anyone else, or Use this layout to keep the tables for your own guests.
How many tables for your guest count
Divide the number of guests by the seats per table and round up. Ten tables of 10 seat 100; fifteen tables of 10 seat 150.
| Guests | Tables of 8 | Tables of 10 |
|---|---|---|
| 40 | 5 | 4 |
| 60 | 8 | 6 |
| 80 | 10 | 8 |
| 100 | 13 | 10 |
| 120 | 15 | 12 |
| 150 | 19 | 15 |
| 200 | 25 | 20 |
You don’t have to do the sums: Add → Tables for your guests asks for the guest count, seats per table and shape, then places exactly that many tables and makes the room big enough for them.
Table sizes and how many they seat
| Table | Comfortable | At a squeeze |
|---|---|---|
| 60-inch (152 cm) round | 8 | 10 |
| 72-inch (183 cm) round | 10 | 12 |
| 6 ft × 30 in (183 × 76 cm) long | 6 | 8, with one at each end |
| 8 ft × 30 in (244 × 76 cm) long | 8 | 10, with one at each end |
Leave about 54–60 inches (1.4–1.5 m) between round tables so chairs can pull out and people can pass. The planner draws everything to scale in centimetres, so if the plan looks crowded, so will the room.
Name your tables
Numbers are quickest for staff; names make a table plan feel like part of the event. Select any table, choose Name all tables and type one name per line, in table order: places you’ve been, flowers, songs, books, teams. The names appear on the floor plan, in the A–Z list guests read at the door and on each table’s list for the venue.
Long tables, banquet rows and a head table
For long tables in rows, choose Add → Banquet rows and set how many rows, how many tables in each and the seats per table. A head table seats people along one side, facing the room. Mix shapes freely: any table’s shape and seat count can be changed in its details.
Print the table plan
- Floor plan with every table named or numbered and every seat marked.
- A–Z list of guests with their table, in columns with letter headings, for the entrance.
- A list for each table with seat numbers, tags such as dietary needs and a count of each.
Choose Letter or A4 and print at 100% (“Actual size”). See a sample made from the example above: Letter PDF or A4 PDF.
Frequently asked questions
Is this table planner free?
Yes. Laying out tables, Smart arrange and every download, including the PDF, are free, with no sign-up and no watermark.
How many tables do I need for 100 guests?
Ten round tables of 10, or 13 tables of 8 (104 seats). Choose Add, then Tables for your guests, and the planner works it out and lays them out for you.
Can my tables have names instead of numbers?
Yes. Select any table and choose Name all tables (or Table names in the side panel), type one name per line in table order and press Name the tables. Names show on the plan, in the A–Z list and on each table’s list. Leave a line blank to keep that table’s number.
Can I mix round and long tables?
Yes. Add tables of any shape from the Add menu, change a table’s shape and seats in its details, and add a head table, banquet rows, a dance floor or a bar.
How much space should I leave between tables?
About 54–60 inches (1.4–1.5 m) between round tables lets chairs pull out and people pass. Tables for your guests uses about 1.5 m between table edges. Check with your venue.
Can I import my guest list?
Yes. Paste rows from Excel or Google Sheets, or import a CSV or Excel file. Columns such as Household, Table and Meal are recognised, and you see a preview first.
Does it work on a phone?
Yes. It runs in the browser with nothing to install. Tap a guest, then a table; pinch to zoom the plan. Your plan saves itself on the device.
