What we make
seatingchartgenerator.org is an independent website with one job: to make seating charts quick to build and good to print. Paste a list of names, set up the room with tables, desks, rows or risers, add a few rules, and the tool seats everyone in seconds. You can then adjust any seat by hand and print a clean PDF with the floor plan, an A–Z list and a list for each table.
Around the generator we publish free templates in the formats people already use, from printable PDFs to Word, Excel, Google Sheets and PowerPoint, and practical guides on planning, etiquette and display. The site launched in October 2026.
Who it’s for
- Couples and wedding planners seating families together, mixing both sides and printing escort cards and signs.
- Teachers arranging rows, pairs and groups, keeping talkers apart and shuffling seats without repeats.
- Conductors and directors laying out bands, orchestras and choirs by section and chair order.
- Event, office and venue organisers planning galas, conferences, desks, pews, buses and theatre rows.
What we believe a seating tool should be
- Usable straight away. The tool is at the top of the page with a ready example. No sign-up, no pop-ups, no tour.
- Private by default. Your lists stay in your browser on your device. Nothing is uploaded unless you choose to share.
- Free, without catches. Saving, smart arranging and every export, including the PDF, cost nothing and carry no watermark.
- Good on a phone. Tap a name, tap a table. Pinch to zoom.
- Accessible. Everything you need works with a keyboard, and the list view gives screen-reader users everything the floor plan does.
- Built to print. Letter and A4 PDFs, signs up to poster size, cards with cut guides.

How it works
The editor runs entirely in your browser. Plans are saved on your device as you work. When you press Smart arrange, a solver tries many thousands of small swaps in a background thread, keeping the arrangement that best meets your rules, and tells you in plain words about any rule that can’t be met rather than breaking it silently. Imports, PDFs, images, spreadsheets and QR codes are all made on your device too, so the tool keeps working on slow connections and your lists never travel.
How we build and test
Every change goes through the same checks before it is published:
- An automated suite of more than 6,000 browser tests covers the editor, imports, exports and every page, in the Chromium, Firefox and WebKit (Safari) engines on phone, tablet and desktop screens.
- Every page is checked for accessibility against WCAG 2.2 AA in light and dark themes. Our accessibility statement has the details.
- Pages must stay fast: each has a strict budget for the code it loads, and key pages are audited with Lighthouse.
- Downloads are opened and checked, and after each release the live pages are compared with what was tested.
Editorial standards
- Written from use. Guides describe what works when you actually seat people, with steps you can follow in the tool.
- Sources named. Guides that rely on research cite the published studies they draw on.
- Fair comparisons. Comparison pages are checked against each product’s public pages, show the date they were checked, and say where the other product is the better choice.
- No paid placements. We carry no advertising, no affiliate links and no sponsored content, so nothing on the site is there because someone paid for it.
- Corrections. Spotted a mistake? Write to our contact page and we will fix it and update the page.
Languages
Besides English, the site has pages in 13 languages: French, Italian, German, Spanish, Portuguese (Brazil), Dutch, Polish, Swedish, Danish, Norwegian, Turkish, Japanese and Korean. Each is written for its own market, with local customs, terms and examples, rather than translated word for word, and the editor on those pages speaks the same language. They are listed on the site map.
Independence
The site is independent. It isn’t owned by, or affiliated with, any wedding, school or event software company, and it isn’t paid by anyone it mentions. Company and product names in our comparisons belong to their owners.
