Policies and information
Privacy policy
Seating Chart Generator is built so that your guest lists, class lists and seating plans never reach us. This page explains exactly what stays on your device, the little our server sees, and your rights.
- Your plans stay on your device Names, tables and notes are saved in your browser, not on our servers.
- No account, no cookies There is nothing to sign up for, and the site sets no cookies.
- No ads or tracking No analytics, advertising or third-party scripts are loaded.
- Nothing is sold We don’t sell, rent or share personal data. We have none to sell.
Who we are and what this covers
This policy covers seatingchartgenerator.org and every page on it, in every language, including the seating chart generator, the templates and the guides. The site is run by an independent team, called “we” or “us” here, who decide how the small amount of data described below is handled. For any privacy question or request, write to our contact page.
Data at a glance
| Data | Where it’s kept | Who can see it | How long |

| Preferences: theme, first-use tips, the random group generator’s list | In your browser’s storage on your device | Only you | Until you clear the site’s data |
| Files you import or export | Read and made inside your browser | Only you, unless you pass a file on | Wherever you save them |
| Share links and QR codes | Inside the link, after the “#”, which browsers never send to a server | Anyone you give the link or code to | As long as the link or code exists |
| Technical request data: IP address, page, time, browser | Our hosting provider’s servers | Our hosting provider, and us when needed to keep the site secure | A limited period under our host’s log policy |
| Emails you send us | Our email inbox | The people who answer them | Until your question is resolved and any follow-up done |
Your seating plans
Plans are saved in your browser’s built-in database (IndexedDB) on the device you are using, every time you change something. They include what you enter: names, groups and tags, tables and seats, rules, notes, and, so that “avoid last time’s neighbours” can work, the neighbours from up to the last 12 arrangements. The site also remembers which plan you had open last. None of this is sent to us.
- Another browser or device won’t see your plans. To move a plan, download the plan file (Print & export → Plan file) and open it from My plans on the other device.
- Clearing this site’s data in your browser, or closing a private window, deletes saved plans. Keep a plan file of anything important.
- You can delete any plan at any time from My plans. The full list of what the site keeps in your browser is on Cookies and storage.
Imports and exports
When you paste a list or open a CSV, Excel, Numbers or OpenDocument file, it is read inside your browser and is not uploaded. Exports, including PDFs, images, Excel and CSV files, Word documents, signs, cards and plan files, are also made inside your browser and saved straight to your device.
What our server sees
Like every website, our hosting provider’s servers and content delivery network receive standard request information when your browser loads a page: your IP address, the address of the page, the time, the referring page and your browser’s user agent. It is used only to deliver the site, keep it running and protect it from abuse, and is kept for a limited period under our host’s log policy. It never contains your seating plans.
When you email us
If you write to us, we receive your email address, your name if you include it, and your message. We use them only to answer you and follow up on your request. We don’t add you to any mailing list. Please don’t send guest or class lists: we never need the names to help. We keep messages until your question is resolved and any follow-up is done, and you can ask us to delete them sooner.
What we never do
- Set cookies, or let anyone else set them through our pages.
- Run analytics, advertising, social media pixels or other third-party scripts. Our pages load fonts, images and code only from our own domain.
- Sell, rent or share personal data, or use it for profiling or targeted advertising.
- Use your plans or names to train AI models. We never receive them.
If we ever add privacy-friendly visit counting, we will update this page before it starts.
Legal bases
Where data protection law such as the GDPR applies, we rely on our legitimate interests in running a secure website for technical request data, on taking steps at your request and our legitimate interests for answering emails, and on our legal obligations when we handle a data protection request. Seating plans are stored by your own browser under your control. The details, and your rights, are on GDPR and your rights.
Service providers
The site is hosted by Hostinger, which also runs the content delivery network that serves our pages around the world and our email. Hostinger processes technical request data and emails on our behalf, under its own security and data protection commitments. Because the network serves pages from data centres in several countries, request data may be processed outside your country. Where personal data leaves the European Economic Area or the United Kingdom, we rely on the safeguards our provider puts in place as the law requires.
Children and students
The site is made for adults: couples, planners, teachers and organisers. Teachers often enter student names, and those names stay on the teacher’s device like any other plan. We never receive them, so a school remains in full control of its students’ data.
Security
Every page is served over HTTPS. A strict Content Security Policy only lets our own code run, and other security headers stop the site from being framed by other sites or used to sniff file types. Because we don’t store plans on a server, there is no database of guest lists to breach. Keeping your device and browser up to date protects the plans saved on it.
Your choices and rights
- Delete a plan from My plans, or remove everything by clearing this site’s data in your browser.
- Use the site without ever writing to us. It needs no personal details.
- Ask us what we hold about you, to correct it or to delete it, by writing to our contact page. See GDPR and your rights for every right and how we answer.
Changes to this policy
If this policy changes, the date at the top changes too, and we describe important changes on this page before they take effect. Questions are welcome at our contact page.
