How to print your seating cards

  1. Choose an example or add your guests. Try the reception example, open a saved plan or use this layout with your own names. Paste a list or import CSV/XLSX, then check the actual table and seat assignments.
  2. Choose the card’s job. Escort cards show a name and table. Place cards mark an individual setting. Names only includes everyone without an assignment line. Table numbers creates one card for each included table.
  3. Set the paper and design. Choose Letter or A4, Classic or Modern, and flat or tent guest cards. Add an optional shared message of up to 80 characters. Table-number cards stay flat.
  4. Review names and missing seats. Check the card list, long-name warnings and unseated guests. Escort and Place include assigned guests only. Edit the seating plan to assign the remaining people before returning to Cards.
  5. Download, cut and fold. Download the card PDF, or an editable Word document for table numbers. Print the PDF at Actual size / 100%, check one sheet, then cut at the guides and fold tent cards across the middle.

The reception example contains 42 guests, with 36 assigned and six still needing seats. Escort and Place begin with those 36 cards; the omitted names remain visible for review. Choose Names only for all 42, or assign the remaining guests in the seating plan. Changing a card’s design does not arrange anyone.

Put escort cards in an easy-to-browse order. Place cards can follow table and seat order while you set them out. A physical seat number helps identify the position in your plan; it is separate from a musician’s chair rank. For one large entrance display, use the seating chart sign maker.

Keep the cards connected to your plan

Cards use your actual roster and assignments, so you can fix a table name or move a guest in the plan and generate a fresh set. Use the wedding seating tool for a larger room, or the table planner to organize and name tables. Check missing assignments before printing.

Table-number mode includes all six reception tables, including empty Table 5 and the named Head table. Use the occupied-only filter when you want cards only for tables with guests. Custom labels and duplicate guest names remain separate records; review the full list.

Simple wedding seating card ideas

Choose Classic for a traditional look or Modern for a cleaner style. Keep the guest’s full name prominent and use the secondary line for the information they need. A short shared thank-you message can personalize the set. Private notes and tags are not added automatically.

Flat cards work in holders or laid at a setting; tents stand after folding. Review long names and custom table labels before export. Font coverage can vary for different scripts, so check the actual downloaded file as well as the preview.

Print, cut and fold at the intended size

Guest cards have a 3.5 × 2 inch face. Flat sheets contain eight cards on Letter or ten on A4. Tent sheets contain four on either paper: each unfolded card is 3.5 × 4 inches, with the top face upside down and the bottom upright. Fold across the middle so both sides read correctly.

Layouts use a half-inch outer safe margin and one-sixth-inch gaps. Table numbers are flat 5 × 7 inch cards, centered one per sheet. Print the PDF at Actual size / 100%. Try one ordinary-paper sheet before your chosen stock, then use the cut marks and fold guides. These layouts are for cutting your own sheets; check any pre-cut stock against the actual dimensions.

See the reception’s Letter flat cards, A4 flat cards or Letter tent cards. These examples use the 36 assigned guests.

Free table number template for Word

Download editable table-number text for the six reception tables, or export the labels from your own plan. Choose the matching paper: Letter Word template or A4 Word template. Fixed PDF examples are available for Letter and A4.

Each document uses one centered 5 × 7 inch flat card area per sheet. Edit a number or table name in Word, then check its preview. Different fonts, longer text or changed margins can alter Word’s layout. Keep the supplied paper settings; use the PDF as the fixed print reference.

Keep an editable backup

Names and card settings stay in your browser and save with the plan. My plans lets you return to it; a downloaded plan file keeps an editable backup of the roster, assignments and design. PDF and Word downloads are copies of that moment’s cards. A shared seating-chart link is a read-only chart snapshot.

Frequently asked questions

Is this wedding seating card maker free?

Yes. Card PDFs, editable Word table numbers and plan-file backups are free, with no account. Your guest list is processed in your browser. You provide the paper and printing.

What is the difference between escort cards and place cards?

An escort card directs a guest to their table, usually from an entrance display. A place card marks their individual setting at that table. Use the type that fits your seating arrangements; you do not have to use both.

Can I make a card for every guest?

Escort and Place use assigned guests and show the names still needing seats. Names only includes everyone. Two people with the same full name remain separate cards, so check their assignments in the review list.

How many cards fit on Letter or A4?

Flat 3.5 × 2 inch guest cards fit eight on Letter and ten on A4. Tent cards fit four on either paper and measure 3.5 × 4 inches before folding. Each 5 × 7 inch table-number card uses one sheet.

Is there a free table number template for Word?

Yes. Download the reception-example DOCX below, or choose Table numbers to export your current table labels. The text is editable in Word. Keep the supplied paper and margins, and check print preview after making changes.

Can I add a thank-you line or make name tags?

Add one shared message of up to 80 characters, such as “Thank you for celebrating with us.” Names only makes paper name cards. Personal thank-you letters and adhesive badge-sheet layouts are outside this tool.

Can I use the cards with seating-chart envelopes?

You can put finished escort cards in envelopes that fit their size. This tool creates the cards; envelope addressing, postal information and envelope printing require a separate process.

Will my design save, and do locked seats move?

Card options save with the plan in this browser. Download a plan file for an editable backup. Designing and exporting leave assignments and occupied or empty locked chairs unchanged. Word edits are separate from the saved plan.
