- Diagram software (SmartDraw, Visio) is for drawing: precise floor plans, any shape, any style. You place every name yourself.
- A seating chart generator is for seating: it takes your list, seats everyone by your rules and prints the lists and sign.
- For most weddings, classes and events, the generator is faster; for an architect-grade venue drawing, use diagram software.
SmartDraw
- Does well: seating chart templates (a band room seating chart, a classroom plan and a computer lab seating chart, among others), floor plans, and many other diagram types in the same app.
- Watch out: it’s paid software after a free trial, and names go onto the drawing by hand; there’s no guest list behind the chart.
Microsoft Visio
- Does well: floor plan and office layout templates with walls, doors and furniture shapes, inside the Microsoft ecosystem.
- Watch out: it’s a paid Microsoft product, we didn’t find a dedicated seating chart template from Microsoft, and it doesn’t seat people for you.
Notion and spreadsheets
A Notion database or a spreadsheet makes a good guest list: one row per person with a Table column, sorted by table or by name. Neither draws the room. When you need the floor plan, paste the same list into a seating chart generator.
