How to make a bus seating chart
- Match the vehicle. Choose School bus, Coach or Van. These are example layouts, not manufacturer seat maps. Select Use this layout to remove the made-up names, then open Add → Bus / van layout to set passenger rows, seats per side and driver side.
- Add your passengers. Paste names or import CSV/XLSX. Use the plan name for the route or trip. The driver marker is not a passenger seat; add an escort or chaperone to the passenger list if they need a seat.
- Assign and review. Tap a passenger and a seat, use the list view, or press Smart arrange. Lock assigned people who must stay put and lock empty positions that must remain unused. Check the result against the actual vehicle and any operator-approved seating requirements.
- Keep and print the plan. Export a Letter or A4 PDF, with the diagram and numbered lists. Autosave keeps edits in this browser. Download a plan file for an editable backup or to move the plan to another device.
The example is ready to edit: eight rows, a centre aisle and a driver at the front. The numbered circles are passenger positions; the driver marker does not add a passenger seat. Select Use this layout to keep the rows and remove all fictional names. Start blank opens an empty room if you prefer to build from scratch.
A bus seating arrangement template you can change
Open Add → Bus / van layout to choose 1–20 passenger rows, 1–3 seats on the left and 0–3 on the right. Set the driver side while looking toward the front. The boarding-door marker starts on the opposite side; move it in the editor if the vehicle differs. Driver and door markers describe the diagram. They do not establish exits, clearances or a vehicle’s approved seating capacity.
A ten-row layout with two positions on each side gives you 40 passenger positions in the tool. Use that only when the actual vehicle has those positions available for your passengers. Buses differ, and a rear bench, staggered row or wheelchair bay may need individual edits. Select a row to change its seat count or name, or lock positions that must stay empty. Applying the layout builder again resets generated row geometry; it preserves surviving seat assignments, locks and custom row names. It blocks a change that would remove occupied or locked positions.
Read row, side and seat together
Row 1 is nearest the front. 4L, seat 2 means the second position on the left side of row 4. L and R are always viewed from the rear toward the driver. Numbers increase left to right on the drawing, so left-side seat 1 is by the window, while right-side seat 1 is by the aisle. Put this convention on the printed copy if your team normally uses another numbering system.
The diagram shows position numbers even when a seat is empty. Assigned passengers have a first-name label below the circle; the seat list gives full names. The alphabetical PDF includes both the row-side label and seat number, and CSV/XLSX stores them in separate Table and Seat columns. A custom row name replaces its default label everywhere. Review the full-name lists when two passengers have the same first name.
Make a school bus chart with your own names
Paste one name per line, or import a roster from Excel or Google Sheets through CSV/XLSX. The import preview lets you remove the example passengers before adding your own. Avoid importing a Table column unless it already matches the chart’s row-side labels; unmatched table names create extra seating. Use the plan name for a route, trip or date, and keep separate copies in My plans when outbound and return seating differ.
On a phone, tap a name, choose Pick a seat on the floor plan, then tap a numbered seat. For a text-based workflow, open More → List view: choose a passenger for a position, clear an assignment or lock a seat from the same list. On desktop, List view is in the toolbar. Smart arrange fills available seats; locked occupants stay put and empty locked positions remain empty. Add keep-apart or keep-together rules in Arrange, then review warnings and the actual placement. Those rules use distances in the schematic, so a valid result still needs a person’s review.
Coach and van examples
Coach starts with eight rows of two seats on each side and 24 fictional passengers. Van has three rows in a 1 + 2 arrangement and eight passengers. Both keep the driver separate. They are editable starting layouts, not diagrams of a named manufacturer’s vehicle. For an escort or chaperone, add their name to the list and assign an actual passenger position. Remove unavailable positions before arranging everyone.
Print a bus seating chart PDF or keep an editable file
Download the school-bus example on Letter or A4, or print a blank numbered Letter chart / A4 chart. The coach example and van example show the other starting layouts. Open Export on a phone or Print & export on a larger screen. Choose Floor plan, the alphabetical list and per-row lists you need. SVG/PNG works for an image; CSV/XLSX opens the assignments in a spreadsheet.
Autosave stays in this browser on this device. A plan file keeps the editable layout, people, rules and locks for a backup or another device. A read-only share link is a snapshot, so make a new link after changes. Notes and tags can appear in spreadsheet and per-row PDF exports; review those copies before distributing them, especially for an individual support plan. Avoid putting sensitive details into a public link. For seating at the destination, use the classroom tool or the table planner.
Frequently asked questions
Is this bus seating chart maker free?
Yes. Editing, automatic arranging, plan files and PDF/image/spreadsheet downloads are free, with no account or watermark. Passenger names are processed in your browser.
Can I make a seating chart for a school bus?
Yes. The school-bus example has eight passenger rows with three positions on each side and 32 fictional passengers. Set rows and seats per side to match the vehicle you use. The example’s 48 positions are not a certified passenger capacity.
How do the seat numbers work?
The front is at the top. A label such as 4L means row 4, left side, looking forward from the rear. Seat numbers run left to right on the drawing within each side: left window to aisle, right aisle to window. The diagram, accessible list, spreadsheet and PDF use that same combination.
Is there a van seating chart template?
Yes. Choose Van for three illustrative rows with one seat on the left and two on the right. The driver is excluded. Change the layout and remove or reserve positions to match your actual van; the example does not identify a vehicle make or model.
Can I download a blank bus seating chart PDF?
Yes. The blank numbered Letter and A4 samples below are ready to print. For a custom blank chart, choose Use this layout, change the passenger rows and seats per side, then export the PDF with Floor plan selected.
Can I reserve an empty seat?
Yes. In List view, use Lock next to an empty position, or select its row and lock the position in Details. Automatic arranging leaves empty locked seats unused. Unlock the position when you want to use it again.
Can I use it for a special needs bus seating chart?
You can record an agreed seating plan, keep a passenger in an assigned position and reserve unused seats. Match it to the operator’s actual wheelchair bays, restraints and individual transport plan. This tool does not design securement systems, calculate safe capacities or approve a seating arrangement. Keep sensitive support details out of shared copies.
Will the chart sync with a school transport system?
No. It is a browser-based planning tool with local autosave, CSV/XLSX exchange and plan files. It does not track attendance, routes, live vehicle locations or automatically sync between devices.
